Halford’s Tutoring Services — Terms & Conditions

These Terms & Conditions explain how Halford’s Tutoring Services (“we”, “us”, “our”) provides tutoring to students and families (“you”, “your”). By booking lessons, using our website, or accessing our resources, you agree to these terms.
1. About Halford’s Tutoring Services

Specialist in KS3 and GCSE Science, Maths, and English
SEND‑aware, gentle, confidence‑building teaching
Lessons delivered online or in Nottingham (where applicable)
2. Lessons & Bookings
Lessons must be booked in advance.
A booking is confirmed once payment is received (unless otherwise agreed).
Sessions may be one‑to‑one or small group.
We may decline a booking if we believe the service is not suitable for the learner’s needs.
3. Payment
Payment is required before each lesson or monthly in advance.
Payment methods: bank transfer or other agreed methods.
Invoices must be paid by the due date.
Late payments may result in paused lessons.
4. Cancellations & Missed Lessons
24 hours’ notice is required to cancel or reschedule.
Cancellations with less than 24 hours’ notice are chargeable in full.
If we cancel, you will be offered a rescheduled session or a refund for that lesson.
Repeated cancellations may result in the slot being offered to another student.
5. Lateness
If a student arrives late, the session still ends at the scheduled time.
If the tutor is delayed, the full session time will be honoured or rescheduled.
6. Technology & Online Learning
You are responsible for ensuring a stable internet connection and suitable device.
If technical issues occur on your side, the session remains chargeable.
If technical issues occur on our side, the session will be rescheduled at no cost.
7. Safeguarding Children (Enhanced Section)
Halford’s Tutoring Services is committed to maintaining a safe, respectful, and supportive environment for all learners.
7.1 Safeguarding Responsibilities
We follow UK safeguarding guidance, including Working Together to Safeguard Children.
We hold an enhanced DBS check and renew it regularly.
Safeguarding concerns will be acted upon in line with statutory requirements.
7.2 Parent/Carer Responsibilities
A responsible adult must be present in the home during online lessons for students under 18.
You agree to ensure the learning environment is safe, calm, and appropriate.
7.3 Online Safety
Students should use their own first name only during lessons.
Cameras must remain on unless otherwise agreed for SEND reasons.
Screensharing is used only when necessary for learning.
Lessons may not be recorded by either party unless agreed in writing.
7.4 Reporting Concerns
If we believe a child is at risk of harm, we may:
pause the lesson
contact the parent/carer
seek advice from safeguarding professionals
make a referral if legally required
We will always act in the best interests of the child.
8. SEND & Learning Needs
We welcome SEND learners and adapt lessons wherever possible.
You agree to share relevant information (diagnoses, EHCP details, triggers, strategies).
We are not responsible for outcomes affected by undisclosed needs.
9. Resources & Copyright
All resources created by Halford’s Tutoring Services remain our intellectual property.
Resources may be used for personal learning only.
They must not be shared, sold, uploaded, or redistributed.
10. Progress & Outcomes
We aim to build confidence, understanding, and long‑term learning.
We do not guarantee specific grades or exam results.
Progress depends on attendance, engagement, and practice outside lessons.
11. GDPR & Data Protection (Full Compliance Section)
We comply with the UK GDPR and the Data Protection Act 2018.
11.1 What Data We Collect
We may collect:
Parent/carer contact details
Student name, age, and learning needs
Notes on progress and lesson content
Payment information (not stored on the website)
Website usage data (cookies, analytics)
